Effective date: November 6, 2026 · Last updated: November 6, 2026

Bottom Line Mngmt Inc., doing business as Bottom Line Management (“Bottom Line,” “we,” “us,” or “our”), provides bookkeeping, accounting, payroll, and business finance services. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to our website at bottomlinemngmt.com, to the services we provide to our clients, and to any client application or portal we provide that lets you securely connect your financial accounts to us.

1. Information we collect

Information you give us

  • Contact details, such as your name, email address, phone number, and business name, when you contact us, request a consultation, or become a client.
  • Business and financial records you share with us so we can perform our services, such as statements, invoices, receipts, and payroll information.
  • Messages you send us through our contact form, email, or phone.

Information from your financial institutions

If you choose to connect a bank, credit card, or other financial account to us, we receive information from that institution through our service provider Plaid (see Section 2). Depending on the accounts you connect and the services you use, this may include:

  • Account and routing numbers, account type, and account name;
  • Account balances;
  • Transaction history, including date, amount, payee or merchant, and description;
  • Account holder information, such as name, email address, phone number, and address, as held by your financial institution.

We never receive or store the username or password you use to log in to your financial institution. Those credentials are entered directly into Plaid’s secure interface.

Information collected automatically

When you visit our website, our hosting provider automatically records basic technical information, such as your IP address, browser type, the pages you request, and the date and time of your visit. This information is used to operate, secure, and troubleshoot the website.

2. Connecting your financial accounts (Plaid)

To let you securely link your financial accounts to us, we use Plaid Inc. (“Plaid”), a third-party service that connects applications with financial institutions.

We use Plaid to gather your data from financial institutions. By using our service, you grant Bottom Line Mngmt Inc. and Plaid the right, power, and authority to act on your behalf to access and transmit your personal and financial information from your relevant financial institution. You agree to your personal and financial information being transferred, stored, and processed by Plaid in accordance with the Plaid End User Privacy Policy.

You choose which institutions and accounts to connect, and you can disconnect them at any time (see Section 7). You can also review and manage the connections Plaid maintains for you through the Plaid Portal.

We use financial account information received through Plaid only to provide our services to you. We do not sell or rent it, we do not use it for advertising, and we do not use it in anonymized or aggregated form for any other purpose.

3. How we use information

We use the information we collect to:

  • Provide our services, including bookkeeping, bank and credit card reconciliation, financial reporting, payroll, and budgeting and forecasting;
  • Respond to your questions and requests, and communicate with you about your account and our services;
  • Verify accounts and protect against fraud, unauthorized access, and other security risks;
  • Operate, maintain, and improve our website and services;
  • Comply with our legal, regulatory, and professional obligations.

4. How we share information

We do not sell or rent your personal or financial information. We share information only as described below:

  • Service providers that help us operate our business, under obligations to protect the information and use it only to provide services to us. These include Plaid (financial account connections), our website hosting provider, our email provider, our contact form processor, and the accounting software we use to perform your engagement.
  • At your direction or with your consent, for example with your lender, attorney, or another advisor you ask us to work with.
  • For legal reasons, when we believe disclosure is required by law, regulation, subpoena, or court order, or is necessary to protect the rights, property, or safety of our clients, our firm, or others.
  • In a business transfer, such as a merger, acquisition, or sale of all or part of our business, in which case the information would remain subject to the protections of this policy.

5. How we protect information

We use administrative, technical, and physical safeguards designed to protect your information, including:

  • Encryption of data in transit using TLS (HTTPS);
  • Restricting access to client financial information to authorized personnel who have a legitimate business need to access it to serve you;
  • Secure authentication practices for the systems that store client information;
  • Relying on Plaid so that your financial institution login credentials are never shared with or stored by us.

No method of transmission or storage is completely secure, but we work to protect your information and will notify you of a security incident affecting your information as required by law.

6. How long we keep information

We keep information for as long as we provide services to you and afterward for as long as needed to meet our legal, tax, and professional record-keeping obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete it or securely dispose of it. If you disconnect a financial account, we stop receiving new information from that account.

7. Your choices and rights

  • Disconnect financial accounts. You can ask us to disconnect any linked financial account at any time, and you can manage your connections through the Plaid Portal.
  • Access, correct, or delete. You can ask to access the personal information we hold about you, correct it, or delete it. We will honor deletion requests except where we are required to keep information for legal, tax, or professional reasons.
  • Communications. You can ask us at any time to stop sending you non-essential communications.

Depending on where you live, you may have additional rights under applicable privacy laws. To make a request, contact us using the details below. We will verify your identity before acting on a request and respond within the time required by law. We will not discriminate against you for exercising your privacy rights.

8. Cookies and website data

Our website does not use advertising or tracking cookies. If you submit our contact form, it is processed by a third-party form service that may use cookies or a security check (such as reCAPTCHA) to prevent spam.

9. Children’s privacy

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

10. Changes to this policy
